Challenge
Fire prevention is complex on a campus the size of Carleton University, with 2,300+ fire extinguishers requiring monthly and annual inspections to verify location, accessibility, and function to remain compliant with provincial fire code. Like many campuses, inspections were logged manually on extinguisher tags. But without a reliable way to validate completion, leadership lacked clear visibility into who did what, where, and when, and compiling records for inspections was manual and time-consuming.
Solution
Carleton adopted Command Center from Zendelity to digitize monthly fire extinguisher inspections, then expanded to additional life-safety assets. Today, their Emergency Management team verifies checks for Fire Extinguishers, AEDs, Naloxone Kits, Fire Alarm Panels, and Elevators with Firefighter Controls, capturing evidence at the point of work and producing audit-ready records.
The program runs with a lean structure: frontline staff complete procedures, daily panel checks are performed consistently, and contractors are required to use the same system for centralized oversight. When staffing changes, the next person doesn’t waste time hunting; every asset location is in the workflow.
For fire panels, staff capture a photo whenever alarms or troubles are present. That gives leadership visibility without dispatching staff just to confirm what’s showing on the panel. With up to 8–10 panel troubles per day, Chad estimates this saves 5–8 hours per week. Photos can also be forwarded to service technicians so they arrive with the right context (and parts), helping reduce repeat visits and shorten downtime. If a trouble clears, closure can be verified on the next day’s check; if it reappears, it’s easy to confirm whether it’s the same issue or a new one.
And when inspectors arrive, Carleton doesn’t just say the work is done; they can show it, with time-stamped, asset-linked proof.
